Age Requirement: Must be 18 years of age or older at time of entry.

Volunteer Status: Must be an approved OneAnime volunteer for the 2025 convention. This sweepstakes is exclusively for volunteers.

Travel Eligibility: Must be legally able to travel internationally and possess valid travel documents.

Exclusions: OneAnime owners, board members, immediate family members, and household members are ineligible. All volunteers are eligible to participate, including staff volunteers.

Geographic: Must be a legal resident of the United States.

Eligible Period: Sweepstakes entry period begins January 1, 2025 and ends November 1, 2025 (the final day of the 2025 OneAnime convention). Only volunteers approved during this period are eligible. Drawing will be completed on or before February 28, 2026.

Automatic Entry for Volunteers: All approved volunteers for the 2025 OneAnime event are automatically entered upon approval. Volunteer status is not tied to hours worked.

Application: Must submit complete volunteer application and be approved by OneAnime.

Conduct Requirements: Volunteers may be disqualified for behavior that violates OneAnime's published policies (available at oneanime.org/about) including but not limited to harassment, discrimination, theft, violence, criminal conduct, or other serious misconduct. Disqualification determinations made BEFORE the drawing are at OneAnime's sole discretion. Disqualification of a selected winner AFTER the drawing may only occur for: (1) criminal conduct during the convention; (2) violation of eligibility requirements; (3) failure to provide required documentation; or (4) material breach of these terms. Volunteer entry and eligibility are NOT contingent on completing any specific number of volunteer hours or shifts.

One Entry Per Person: Each participant receives one (1) entry. Duplicate entries, use of multiple accounts, fraudulent entries, or any attempt to manipulate the sweepstakes will result in immediate disqualification.

Odds of Winning: Odds of winning depend on the total number of eligible entries received.

Travel Package: One (1) travel package to Japan including roundtrip airfare from Salt Lake City or major California international airport, hotel accommodations, and intercity transportation.

Duration: Minimum 5 days, maximum as determined by selected package.

Package Value: Approximate Retail Value (ARV): $1,250 USD. This is a good-faith estimate only. Actual package value may be higher or lower based on travel dates, seasonal pricing, and availability. Winner responsible for all taxes on actual prize value received.

Additional Expenses: Winner responsible for all expenses not specifically included in package, including but not limited to: meals, personal shopping, travel insurance, visas, passport fees, and any other personal expenses.

Travel Dates: Subject to availability. Must be booked within 12 months of winning notification.

Prize Substitution Options: Winner may choose: (1) the Japan trip package as described; (2) an alternative travel destination with package value approximately equivalent to the stated ARV (subject to availability and pricing); OR (3) a cash payment of $1,000 USD in lieu of any travel. No other substitutions, transfers, or cash equivalents are permitted. Winner responsible for all applicable taxes on prize value received.

Selection Method: Winner will be selected by random drawing from all eligible entries. Each participant has an equal chance of winning.

Notification: Winner will be notified via email and/or phone.

Claim Period: Prize must be claimed within 30 days of sweepstakes conclusion per Utah law. Winner must sign and return required documentation including: (1) Affidavit of Eligibility, and (2) Liability Waiver and Release within 30 days. Winner must provide completed W-9 tax form within 60 days of notification. Failure to claim or return documentation within specified timeframes results in forfeiture.

Verification: Winner must provide proof of identity, age, eligibility, and legal ability to travel internationally.

Alternate Winner: If original winner cannot be contacted, fails to claim prize, fails to return required documentation, or is ineligible, alternate winner will be selected.

Passport: Winner must possess valid passport with minimum 6 months validity from travel date.

Visa Requirements: Winner responsible for obtaining any required visas or travel documents.

Travel Insurance: Winner strongly encouraged to obtain travel insurance at their own expense.

Health Requirements: Winner responsible for any required vaccinations or health clearances.

Travel Restrictions: Travel subject to government travel advisories, health restrictions, and other factors beyond OneAnime's control.

Booking Window: Must be booked within 12 months of winning notification or prize expires.

Non-Transferable: Prize is non-transferable and cannot be sold, traded, or assigned.

Substitution: No cash equivalent or prize substitution allowed except as specified in Section 3 (Prize Details).

Travel Agent Services: OneAnime is not a travel agent. Winner will work directly with travel provider for booking and arrangements.

Handoff Point: OneAnime's responsibility ends upon providing winner with proof of purchase and booking instructions from the third-party travel provider. Winner will receive documentation (voucher, confirmation number, or equivalent) and contact information for the travel agency or provider. Winner is responsible for completing booking directly with the provider using the provided documentation. OneAnime provides no ongoing support or assistance after delivery of documentation. Any issues with booking, availability, or service quality are between winner and the third-party provider.

Package Changes: Travel provider may modify package details. OneAnime not responsible for changes made by third parties.

Force Majeure: OneAnime not liable for delays, cancellations, or modifications due to circumstances beyond our control.

Release of Claims: By accepting prize, winner RELEASES, WAIVES, AND DISCHARGES OneAnime, its officers, directors, employees, volunteers, sponsors, partners, and agents from ANY AND ALL claims, demands, damages, losses, liabilities, actions, or causes of action whatsoever arising from or related to participation in sweepstakes, acceptance of the prize, or use/misuse of the prize, including but not limited to personal injury, death, or property damage, TO THE MAXIMUM EXTENT PERMITTED BY LAW.

Assumption of Risk: Winner ACKNOWLEDGES, UNDERSTANDS, AND ASSUMES ALL RISKS associated with international travel, including but not limited to: health risks, illness, injury, death, safety risks, political instability, natural disasters, acts of terrorism, travel delays, cancellations, and any other hazards. Winner participates ENTIRELY AT THEIR OWN RISK.

Third Party Services: OneAnime is NOT responsible and expressly DISCLAIMS ALL LIABILITY for actions, omissions, negligence, misconduct, or breach of contract by travel providers, airlines, hotels, transportation services, or any other third parties.

Indemnification: Winner AGREES TO INDEMNIFY, DEFEND, AND HOLD HARMLESS OneAnime, its staff, board members, owners, officers, directors, employees, volunteers, sponsors, partners, and agents from and against ANY AND ALL claims, liabilities, damages, losses, costs, expenses (including reasonable attorneys' fees) arising from: (1) winner's participation in the sweepstakes; (2) winner's acceptance, possession, use, or misuse of the prize; (3) winner's travel; (4) winner's violation of these terms; or (5) winner's violation of any third-party rights.

Maximum Liability: TO THE MAXIMUM EXTENT PERMITTED BY LAW, OneAnime's TOTAL aggregate liability shall NOT exceed the Approximate Retail Value of the travel package ($1,250 USD).

AS-IS Prize: Prize awarded "AS IS" with NO WARRANTIES, express or implied, including but not limited to warranties of merchantability or fitness for a particular purpose.

Exclusive Program: This sweepstakes is exclusively available to approved OneAnime volunteers as a thank-you benefit.

No Purchase or Work Required: No payment, purchase, or volunteer work is required to become a volunteer or to participate in this sweepstakes. Volunteer status (approval) is required, but completing any volunteer hours or shifts is NOT required.

Entry Method: Entry is automatic upon volunteer approval. No additional action required.

No Work Requirement: Sweepstakes entry is based solely on volunteer approval status. You are NOT required to work any shifts, complete any hours, or attend the convention to be eligible for or to win this sweepstakes. Availability and shift preferences collected in the volunteer application are for scheduling purposes only and do not affect sweepstakes eligibility.

Modification Rights: OneAnime reserves the absolute right to modify, suspend, cancel, or terminate this sweepstakes at any time for any reason without prior notice or liability.

Disqualification: OneAnime reserves the sole and absolute right to disqualify any participant for: violation of these terms, fraud, misconduct, inappropriate conduct, or any reason determined by OneAnime in its sole discretion.

Technical Issues: OneAnime is NOT responsible for and expressly disclaims liability for: technical failures, computer malfunctions, lost/delayed/misdirected entries, network outages, failed email notifications, or any other technical or human error affecting participation or prize delivery.

Severability: If any provision of these terms is found by a court of competent jurisdiction to be invalid, illegal, or unenforceable, such provision shall be modified to the minimum extent necessary to make it enforceable while preserving its intent, or if such modification is not possible, such provision shall be severed from these terms. The invalidity or unenforceability of any provision shall NOT affect the validity or enforceability of any other provision, and all remaining provisions shall remain in full force and effect. Specifically, if the arbitration clause, class action waiver, or jury trial waiver is found unenforceable, all other provisions including the liability releases, indemnification, statute of limitations, and governing law provisions shall remain fully enforceable.

Taxes: Travel package includes all applicable taxes and fees. Winner responsible for any personal income tax obligations related to prize value.

Governing Law and Dispute Resolution: These terms are governed by the laws of the State of Utah without regard to conflicts of law principles. Any dispute, claim, or controversy arising out of or relating to these terms, the sweepstakes, or the prize shall be resolved exclusively through binding arbitration administered by the American Arbitration Association under its Commercial Arbitration Rules. The arbitration shall be conducted in Utah by a single arbitrator. Each party shall bear its own costs and fees. Judgment on the arbitration award may be entered in any court having jurisdiction. Notwithstanding the foregoing, either party may seek equitable relief in court for matters related to intellectual property or confidential information. TO THE MAXIMUM EXTENT PERMITTED BY LAW, PARTICIPANT WAIVES ANY RIGHT TO A JURY TRIAL and agrees that any arbitration shall be conducted on an individual basis only. CLASS ARBITRATIONS AND CLASS ACTIONS ARE NOT PERMITTED. Participant waives any right to participate in a class action lawsuit or class-wide arbitration against OneAnime.

Statute of Limitations: Notwithstanding any statute or law to the contrary, any claim or cause of action arising out of or related to participation in this sweepstakes or these terms must be filed within one (1) year after such claim or cause of action arose, or be forever barred.

Utah Compliance: This sweepstakes is a volunteer appreciation program and complies with Utah law. No purchase or payment is required to become a volunteer or participate.

Data Collection: OneAnime collects volunteer contact information (name, email, phone) and availability preferences solely for volunteer coordination and sweepstakes administration purposes.

Use of Information: Your information will only be used to: (1) coordinate volunteer schedules and assignments; (2) communicate about convention-related activities; (3) administer this sweepstakes including winner notification and prize delivery; and (4) send updates about OneAnime events. We will not sell, rent, or share your personal information with third parties for marketing purposes.

Data Security: We implement reasonable security measures to protect your information. However, no electronic storage is 100% secure.

Retention: Volunteer information is retained for the duration of the sweepstakes period and may be retained thereafter for record-keeping and future event coordination.

Your Rights: You may request deletion of your information by contacting us at [email protected], subject to our legal obligations to retain certain records (such as tax documentation for prize winners).
